7/2/08 Buda Chapter Officers Meeting minutes

Four officers attended the 7/2/08 FCS Buda Chapter Officers Meeting at Hays Hills Baptist Church.  In attendance were David Smith, Hunter Phillips, Darryl Swann, and Kevin Schnautz.

  • Darryl opened the meeting in prayer.
  • The following were topics of discussion:
  • David suggested meeting with the OCR Ranch on Thursday July 10th to try to obtain permission to host a “Turkey Shoot” at their location to raise money for youth scholarship hunts this fall.  We are looking to host the Turkey Shoot on October 11th (the weekend after the TPWD Expo).  We anticipate raising around $400 to go toward the scholarship.
  • Kayak trip on the Guadalupe River on August 2nd.  Hunter is heading up this event and has requested that those that need to rent kayaks have their reservations in soon.  If anyone needs Hunter’s help in securing a kayak, he has requested that money be turned in to him by July 28th.  Hunter has agreed to be the one to pick up the kayaks and return them after the event.  Plans are made to park David Grizzle’s truck and trailer at the first exit point and Hunter’s truck and trailer at the last exit point to get everyone back to their vehicles at the starting point.
  • Kevin’s father-in-law has offered his rent house for a possible place to stay (for free) as well as help us line up a guide with kayaks for a guided bay fishing trip using kayaks.  This event would have to be limited to around 8 people.
  • Dove hunt at Kevin’s lease in Stonewall on September 13th.  Leave early in the morning in time to make the morning hunt, fellowship, and lunch during the afternoon, hunt the evening hunt and then head home.  Kevin has permission from the land lords.
  • David will call Randy to discuss plans for a booth at the TPWD Expo on October 4th and 5th.
  • Youth Hunts: Possible locations include an Axis doe hunt with Grady Van Heuverswyn, a couple of does with Brad Lind in south Texas, a doe hunt with Kerry Needom, a doe hunt with David Smith, a doe hunt with Kevin Schnautz, and utilizing the ranch in Wimberly for a doe hunt at $100 each.
  • David has agreed to create a flyer on the Kayak trip, and a signup sheet that has a place to list whether the participant has their own kayak or needs to rent one.
  • David will create a signup sheet for Youth Hunts so we can start gathering names.
  • The selection process for the Youth Hunts needs to get ironed out.  All Buda officers need to come to the next meeting with their ideas.
  • David will ask Buddy Allen if he would be interested in taking the lead on a concealed handgun class in our area.
  • Night at the Races:  Darryl has asked for more help during these events.  He has been the only FCS officer at these events since the first one and would like other officers there to help coordinate a short devotional prior to the racing.  We discussed having a pop-up tent and banner as a meeting point.  The plan for these events going forward is to have those attending just show up at the track at 6:30 PM and meet at a specified location.  No more trying to coordinate meeting at the church unless someone needs it.
  • Johnny has mentioned to David about possibly doing some archery shoots at his house.  We will work some of these into the schedule in the future.
  • Darryl closed in prayer.

5/5/08 Club Officers Meeting minutes

Six officers attended the 5/5/08 Club Officers Meeting at the Cherry Creek Catfish Company.

  1. The 2008 State of the Club (to date) and First Quarter of 2008 reports were discussed.  We are doing well in most categories and the Buda Chapter is doing extremely well.  The only concern is our sporting clays shoots, which are down significantly from the last three years.
  2. Hosting an event with the men of a church that has a high percentage of minorities was re-visited.  I (Randy Rowley) work with Paul Perry, who is a minister at Sweethome Baptist Church in Round Rock (a predominantly black church).  We re-visited the idea of having a skeet shoot and meal with men from this church.  Three new ideas included: 1. Participate in one of their events prior to inviting them to one of our events (to enable them to get to know us), 2. Do a promotion at their church, and 3. Ask Paul to take a poll of the men in his church to see how many would be interested in such an activity.  All three new ideas will be explored.  We continue to have very poor participation from the minority community and desire to change that.
  3. Hosting a Youth Shoot or Father/child Shoot was re-visited.  New ideas included: 1. Tie this in to a vacation Bible school (liability issues were discussed), 2. Hold this on someone’s land in the country using our clay target throwers (liability issues were discussed), and 3. Attempt to get money from a donor or a Youth Ministry budget (we will contact Alfred Burgess at Great Hills Baptist Church).  The officers agreed that holding this event at Capitol City would be the best.  It was noted that Scott Richter was interested in doing one of these with the youth from First Baptist Church of Pflugerville.
  4. Hosting a New Member and Prospective Member Banquet was re-visited.  Ideas included: 1. hold this at Hyde Park Baptist Church’s Quarries facility, 2. hold this at Great Hills Baptist Church’s volleyball court area, and 3. hold this at someone’s land in the country (liability issues were discussed).   The officers agreed that the Hyde Park option was the best.
  5. The status of the Polo Shirt logo was discussed.  The logo is almost complete.  An idea was present to do an embroidery logo in the future.  The officers agreed that this was a good idea.
  6. A proposed new Classified Ads policy was discussed.  The officers agreed that all ads on the website will expire after 90 days.  From now on ads will have the date that they were added placed next to the ad.  After 90 days the ad will be pulled.  It will be the responsibility of the person who placed the ad to renew it if he or she so desires.
  7. Upcoming events that will require considerable planning were briefly discussed.
  1. Taking the initiative and following up.  Randy Rowley noted that he is spending a lot of time contacting officers to see if they have started working on aspects of their job descriptions (such as whether an upcoming event has started to be planned).  He also is spending a lot of time following up on various things (for example he will ask an officer a question and then when he doesn’t get a response have to send out a follow-up e-mail).  Randy challenged the officers to take more initiative and for them to contact him and let him know where they are of their responsibilities.  Randy noted that he is pleased with the jobs that all of the officers are doing but this is an area that he believes can be improved.  Randy praised Richard Corbin Membership Director as an example.  Richard has taken the initiative on one of his responsibilities.  Using the Membership Renewals and New Members web pages, he determines whose memberships will expire in the upcoming month and then sends them a “Please Renew” e-mail.  He then lets Randy know what he has done.  Randy doesn’t have to remind Richard to do this – he does it on his own initiative.
  2. Jeff Reece proposed to reorganize some of the web pages to allow the various officers to log in and edit their own pages (such as Ken Hamilton and the prayer requests pages).  The officers agreed that this would be a good idea.  Jeff will present various templates to the officers by the summer.  He hopes to have the website re-designed and streamlined by the end of August.  He will also add a Global Address Bar.  He also has a goal to reduce redundancy.  If you have ideas on how the website should look, please contact Jeff.
  3. Proposed Prayer Requests page policy – The officers agreed to reorganize the prayer requests pages into short term requests (for a specific event such as a surgery) and long term requests.  Short term prayer requests on the website will expire after 90 days.  From now on short term prayer requests will have the date that they were added placed next to the request.  After 90 days the request will be pulled.  It will be the responsibility of the person who placed the request to renew it if he or she so desires.

1/9/08 Buda Chapter Officer’s Meeting (report by Kevin Schnautz)

Six officers (including the Club President met on 1/9/08 for a Buda Chapter Officers meeting at Hays Hills Baptist Church.

The meeting started at 7:00 PM and ended at 8:30 PM.

In attendance were David Smith, Hunter Phillips, Darryl Swann, Kevin Schnautz, Johnny Childress, and Randy Rowley.

Darryl opened the meeting in prayer.

The first order of business was to formally elect Johnny Childress as Buda chapter Treasurer.  David Smith made the motion and Darryl Swann 2nd it.  The vote passed unanimously.  (Welcome Johnny).

Next, we discussed our first official event of attending a drag race in Marion, TX (near Seguin).  This event will take place on Friday, February 22nd.  Plans were made to leave HHBC at 5:30 PM and drive to Marion.  Event time was set from 6:30 PM to 9:30 PM, although participants are welcome to stay as long as they like.  Darryl thinks the racing lasts until around midnight and cost is around $10.00 for spectators.  Racing your own car is welcomed at around $15.00 entry fee. The name of the raceway is either River City Raceway or San Antonio Raceway and can be viewed on its website.  David will make a flier to advertise the event and get them to Darryl by Friday to hand out at Oak Hill.

Next, we discussed the process for selection of scholarship activities.  Darryl will draft a plan for invitation and present it at next week’s meeting.  David suggested we get involved with Operations For Orphan’s organization and Randy suggested looking at Cross Trail Outfitters organization.  Kevin made comments concerning having interested kids write a paragraph or so on a particular topic and having officers pick from the entries.  Randy mentioned having a signup sheet and rotating kids through.

Next, we discussed our March event of a fishing trip to Matagorda.  Our initial date of the weekend of March 22nd needs to be changed due to Easter.  We set a new date of March 28 to March 30.  David will reserve a place to stay and edit the flier to reflect the new date and location.  We agreed to limit the trip to 10 participants with a waiting list and reserved the right to up the limit to 20 participants if there was enough interest.  Darryl mentioned the possibility of providing a boat and will check on it and let David know.  David could possibly get two boats with his bro-in-laws in addition to his personal boat.

Next, we discussed an agenda for Chapter meetings.  Our first Chapter meeting will be held on January 29th at Hays Hills Baptist Church, Bldg. C from 7:00 PM to 9:00 PM.  Randy suggested looking at the club’s inactive list for potential people to invite.  We decided to order pizza for this first meeting due to the late start in planning, but Randy suggested  looking into cooking and holding it at someone’s home for future meetings.  Randy discussed how the Club operates at its meetings.  We agreed to pay $10.00 each as Buda Chapter officers to cover the cost of the pizza.  Johnny will collect the money at next week’s meeting and oversee ordering the pizza (pending time in his new work schedule).  David will draft an agenda and send it out to the rest of us.  Hunter will meet up with Randy to get a video to watch at the Chapter meeting.  Darryl will be in charge of doing a short devotional at the Chapter meeting.

Next, we discussed doing a presentation at church for membership opportunities.  Either Darryl or David will make a presentation at Hays Hills this coming Sunday pending approval from Pastor David Sweet.  The race event will also be presented.  We agreed we should start promoting the Club at surrounding churches following this first event.  Randy will send David a power-point and offered to do the presentation himself if he is given ample time to locate a substitute teacher for his Sunday School class.

Next, we briefly discussed a future youth chapter.  We agreed this is something we want to pursue, but later after the Buda Chapter is running smoothly.   David asked that we all continue to pray about it.

Next, we discussed Releases/Liability.  Randy presented a form that the Club is currently using.  David will look it over and recommend any changes, if any, that may need to be made to better fit the Buda Chapter.  We agreed it was something that we would require for most of our events.

Next, we discussed how to plan an event when there are a limited number of available spots.  Randy discussed how the Club handles this situation.  We agreed we will have a signup sheet on a first come, first served basis with a rotating waiting list.  The event will be posted with a clear and concise statement of how many spots are available.

Randy gave us his cell phone number.

Next, we reviewed our calendar which currently includes the following:

  • January 29th – Chapter meeting at HHBC.
  • February 22nd – Race event in Marion/Seguin
